Important update to accessing University services on personal Windows laptops or desktop

Description

From Thursday, 13 April 2023, the University will enforce an information security policy for unmanaged or personal Microsoft Windows devices used to access University resources. On Wednesday 4 May, IT Services will implement the remaining updates to Yammer that were postponed at the end of January due to technical issues with Microsoft. In summary, the updates will ensure: - All files currently shared in a Yammer group will be stored in SharePoint - All Yammer files attached to private messages will be deleted - Yammer groups will be for internal use only - All groups without an owner will be assigned an M365 administrator to manage - Resolve bug preventing some Yammer groups from adding new members See the IT Services news item for full details of the change: uob.sharepoint.com/sites/itservices/SitePages/yammer-changes-4-may.aspx

Microsoft 365 license upgrade - Sat 9th-Sun 10th Oct

Description

As part of a required licensing upgrade, access to Microsoft 365 services including Outlook, MS Teams and SharePoint should be considered at risk Saturday 9th - Sunday 10th October. Users should not see any prolonged downtime but it is possible that there will be a slight gap in service provision as the new licenses are applied. Licensing work will continue over the next few weekends and follow up messages will be added in due course.

[Identified] Microsoft report and are investigating a problem with One Drive storage limits. Some people who have over 1TB of data stored may only be able to see their content in read-only mode. Microsoft have deployed a fix which will take approximately 24 hours to take full effect.

Description

From Thursday 4 February we will be extending our use of Microsoft Intune to all staff personally owned mobile devices. From 28 April the same rules will be applied to postgraduate research students, members of the TSS service and students with staff roles that require IT access. Members of the above groups will need to install an app on their smartphone or tablets and ensure their device is on the latest version of the mobile operating system or latest security patches to be able to access University data through Microsoft 365 applications, for example Outlook, Teams, OneNote etc. This is part of a programme of necessary steps the University is taking to protect its digital assets and is a requirement of both existing University policy, and external security accreditations which we hold, and underpin the business. [Identified] A recent Microsoft Office update has caused the background and text of Outlook Online to change colour, for some users. Text appears pink or white, so buttons look like they have disappeared. The fix is to go to Settings > Appearance, and change the theme back to the one of your choice.
